What "guard management software" has to actually do

South African security companies typically need two overlapping systems, and many products only do one of them well:

If you buy a clocking-only tool, you will still run scheduling, payroll and compliance on spreadsheets. If you buy a generic international workforce tool, you will get no PSIRA tracking, no BCEA hour rules, and reports your clients don't recognise.

The seven criteria that decide it

  1. Offline-first recording. Signal is not guaranteed on South African sites. Every scan, OB entry, incident and photo must be captured without signal and sync later — otherwise the patrol happened but the record doesn't exist.
  2. Proof quality. NFC touch + GPS position + timestamp recorded as one event beats any single method. QR-only systems are cheaper but easier to defeat.
  3. Panic and response. A guard in trouble needs one-touch panic that reaches a control room and can dispatch armed response — not a phone call.
  4. South African compliance. PSIRA registration and expiry tracking per guard, BCEA rest-period and hours monitoring, sectoral wage validation, and a disciplinary trail that stands up at the CCMA.
  5. Works on cheap Android phones. Guards carry entry-level handsets. Systems that need dedicated hardware add rental cost per point; systems that need high-end phones fail in the field.
  6. Client-facing reporting. Automated daily/monthly reports and a client portal reduce the phone calls that consume a control room.
  7. Whole-business coverage. Scheduling, attendance, payroll and invoicing in the same system as the operational record — so the hours that were worked are the hours that are paid and billed.

Where Smart Guard is genuinely different
